Accounting Administrative Assistant

We are looking for an experienced Quickbooks professional to join our creative and marketing agency full-time. The right fit at this agency will be focused on excellence, always seeks to improve, enjoys working with people, and has a positive, professional attitude.

The ideal candidate will be well organized and comfortable dealing with financial data. This individual will be responsible for overseeing the accounts payable and receivable and conducting other tasks related to finance. In addition, they should be excellent at recording data and have the ability to produce precise financial reports.

Essential Duties & Responsibilities:

  • Month-end billing for all agency clients.
  • Reconcile vendor media bills and work with the media department to resolve discrepancies.
  • Prepare and enter general ledger journal entries
  • Bank Reconciliations
  • Credit Card Reconciliations
  • Assist in the review of invoice journal submittals.
  • Manage A/P, prepare checks for some vendors
  • Track W-9 forms
  • Confirm all expenses are reflected correctly before month-end close.
  • Track expenses, budget, taxes, cash flow, receipts, and other financial dealings of the company
  • Provide regular financial reports (weekly, monthly, and yearly)
  • Monitor accounts payable and receivable
  • Update QuickBooks as needed, ensuring all customers, vendors, and other relevant data is correct.
  • General office duties
  • Other projects as assigned.

Education, Skills, and Experience:

  • Proven QuickBooks desktop experience
  • Associate’s degree in a related field of Finance, Accounting, or Business desired; and one to three years’ related experience and training; or  equivalent combination of education and experience.
  • Ability to perform at a high level in a high-volume environment.
  • Good knowledge of accounting principles and procedures.
  • Knowledge of computers, Microsoft Office applications, and intermediate knowledge of Excel are required.
  • Attention to detail, organization, time management, problem-solving solid, and data entry skills.
  • Good verbal and written communication and interpersonal skills.
